If you’re a new customer, what questions do you have about intaking your creative brief? If you’re a seasoned customer, we’d love to see examples and hear about your process! What are your hot tips? How did you engage the other teams in your organization to create your process? What is the best approach to make sure your questions are relevant but also easy enough for your end users to understand. 

 

While the briefs themselves can vary organization to organization, we’d love to use this space to talk through the process as it relates to Workfront, what’s worked, and help inspire one another.

For some guidance, here are sample questions you can ask the team:  

  • If we don’t have all the details when the request is put in, how do we handle that in our process? 
  • How do we ensure teams are providing complete information? 
  • How detailed should our brief be?
  • We currently utilize a creative brief document and upload it to the request/project, is there a better way to intake the information? Are there advantages to using either a custom form or a document?

Coffee Break Sweepstakes Qualification

For our content we have a lot of templates that help our requestors visualize the end format of their need. Do you have any suggestions on how to serve these templates up in a visual format for our requestors to see at the time of their request? 
For a different need we have linked a powerpoint file, but I'm finding that my requestors don't follow the click and don't connect the content in the pwrpt with their request.

It is possible to insert images into custom forms (check out @cynthiaboon 's Top 3 video about adding images to custom forms) but depending on the number and size needed, that could get cumbersome. A link may still be your best bet (maybe with an arrow image or something above it to help draw attention to it?) with lots of user training and reiteration to get them used to the process.

Does anyone have any use case examples of what they have done with automation (Fusion, API, etc) or AI to streamline and optimize their creative brief process? We love to leverage Fusion and have streamlined some through calculated fields, reports, simplification, etc. but always looking to get better! Thank you!

This is a great request!  We would also love examples of how automation can help this process!  Hopefully some customers are willing to share here.  We also have a "Making the Case for Fusion" event coming on August 27th, so this might be a great question for our speakers as well.

A couple of questions:

1. The client wants a "budget" field within the brief form. I'd like this to tie back to the already existing budget field under finances. Is there a way to do that?

 

2. Similar to how the primary contact field can be added to a form auto-populated, the client would like the same for Company (filled in with the requestor's company). Would this be accomplished through a Calculated Field, and what would that formula look like?

@rlepoudre You can reference native fields in your custom form via calculated custom fields. So if your brief is on the project, you can add a calculated custom field that would pull in the project Budget field. If you type in Budget to your calculation field, it will show as {budget}.

As for auto-populating the Company of the requestor, you can also do that via a calculated custom field on your issue (request) custom form. The calculation would be {enteredBy}.{company}

A big tip that you'll not come across accidentally is using Section Breaks and display logic for Sections rather than individual fields.  So "Is this a Print Project?" and if it is, display a Section with all of your current Print Shop intake form fields.  It takes a minute to figure out how Section breaks work, particularly how to end a Section...

Hi! I saw some potential UI updates to how custom form data is viewed coming in the future. Is there any plan to specifically update the UI around custom form data or make it more customizable?

 

Our main challenge with Creative Briefs is that regardless of how well the data is collected or flows from other places, it still shows in the custom form format which is not very visually appealing. Considering Creative Designers are using this information, I get a lot of feedback that they would love a cleaner interface or some kind of visual updates to these forms. As an admin I would love to be able to customize how they see this data beyond just the order/size of fields and breaking it into sections to help with this process. Thank you!

Hey @brittanylang - I haven't heard of any changes coming to the UI for the custom forms page (particularly ones that would get creatives/designers excited). I had a hard time getting users to go to that page, so I always pulled the data into reports (@cynthiaboon  says she did too) and used conditional formatting to make it easier to digest. I even went into the text mode and changed the HEX codes to brand colors in some cases 🙂

I have a ticket open, but has anyone encountered issues with their WF audit logs? We're seeing issues with log-in times being incorrect and actions being contributed to people who didn't do the action. However, we also use Okta to access WF vs. accessing directly.

Hey Stephanie!  I just checked our internal channels, and we haven't heard of a specific issue with the audit logs, but that doesn't mean there isn't one. It might be related to SSO, but I'm not sure. I'm glad you opened a ticket, as Customer Support has way more access to research these types of challenges, so they can definitely get to the bottom of it.

Hello! We currently have one very long, very complex intake form that we're in the process of reevaluating. I've heard that if there is not a need to report on specific fields/data collected, it really doesn't belong in Workfront. I'm hoping to hear about some best practices and use cases regarding what information belongs in the Workfront intake form vs what information should be contained in a separate brief - strategic, creative, or other.

Hi! One thing that has helped us a lot is creating some separate forms that pull in only the necessary Creative Brief information. It is helpful to narrow it down a lot to only was is important for the creative team, so we have a separate form to fill out; however, when there are larger forms where some of that information is already filled out, we could just duplicate some of those fields onto the Creative Brief field so they pull whatever information was entered. We could use calculated fields to properly format some of the things Creative needs to get started into what they'll need to save them some steps. 

 

This also helps as a sub-step if you can't dedicate the time to narrowing down the larger forms at first. Just make a separate form that duplicates the fields from other places and direct them to only look at/expand that specific brief form in the Details.
