Job Description (Submitted by Robin Colangelo) The Workflow Specialist is a Worfront guru leading workflow for design and production projects. This role is the center of the project workflow system; managing the day-to- day deadlines and ensuring that proper communications are taking place. This is a fast paced role for as seriously organized, multi-tasking individual with the ability to adjust to different personality types and changing priorities with attention to quality. Duties and accountabilities : Gatekeeper for Workfront project management system. Seek ways to improve communications and efficiencies. Able to use the system to determine capacity across the team and forecast blockages. Assess, manage and assign print, digital and video projects through our digital project management system. Able to understand each team members’ skill-set and capacity to be able to assign work effectively to meet expectations and deadlines. Liaise and traffic projects between the onsite requestor, design staff (on and offsite), outside vendors and onsite proofreaders and communications team. Able to see and release blockages. Communicate directly with internal requestors in person and address goals, concerns and revisions throughout the project workflow process while leading each designer to meet deliverables. Follow-up daily with each team member to ensure all deadlines and quality control processes are being met. Investigate and release bottlenecks to keep work flowing through the routing process. Assign projects to our offsite Manila and Tampa teams and onsite New York team. Write clear instructions and route through proper quality control processes. Make edits to the Workfront project management system as needed and develop plans to role out the process across the global team. Use Workfront management system to forecast future recurring projects. Re-prioritize projects and reassign work as needed to meet requestor needs as they evolve.
