Workfront Boards Limitations (Tags, Checklists, Unselected column) - what to do?

I'm encountering some limitations with Boards in Workfront and I haven't had much luck finding any documentation or community posts so I'm making my own post and hoping someone can offer some insights.

 

  1. For both Tags and Checklists, I find that if I need to modify the board filter, then I lose any tags or checklist items that had been added to the cards.  Which is super frustrating because it takes a lot of time to add them since they need to be added one at a time.  Does anyone know why this happens and why the data doesn't persist?
  2. It's unclear to me what the Unselected column (dynamic board) is for and why I can't remove it.  What's up with that?
  3. And is there any way to report on the card data?  Sometimes I want to report by tag, or I want to bulk edit a bunch of cards at once to add a tag...but it doesn't seem possible.  Any suggestions>?

I moved to a new role in June and no longer interact with Workfront.  At that time, we had no resolution.

Adam, as for the boards/checklist items, I had the same experience with boards and checklist items. I had a dynamic board, and I needed to connect another project to it. Some cards on the board had checklist items. As soon as I connected the additional project, all checklist items disappeared.

 

I did put in a support ticket and after a couple escalations, I was informed this is expected behavior. I also got some additional information from the Boards project manager. 

There are two options for creating checklist items on a board: 1) Checklist items 2) Subtasks

  • Both behave in a similar fashion inside of Boards, but subtasks are added to the official task record and if a filter on a board is changed, these subtasks would not disappear. I would recommend they leverages subtasks rather than checklist items if they can. I know some customers can’t because of how their projects are run. 
  • Checklist items are more informal and on a dynamic board. When a checklist item is created, it is not added to the official task record. As a result, the checklist items is wiped out if a user were to update the query filter rule for what records the user wants pulled into a Board.

Thanks very much @marladr ! It's great to have confirmation about the expected behaviour, albeit not the answer I wanted.  I have upvoted your idea.

1.  I do not/haven't experienced this issue in our Boards set up.  I have, however, set up sort filters that disappear or not stay synced and I have to reset them up.  This happens a few times a week for me.

2. Unselect are for items you're not considering or not going to be part of any current or future iteration.  As example, we've had a few requests come in we started work and business said wait we're putting that on Hold, we mark the card On Hold, it moves to Unselect.  We are no longer looking at it in our backlog, which is the New column, and we don't have a timeframe when we'll bring it back, but its still visible until such time as we kill or cancel it.

3.  Nothing we can do yet for the Board reporting. I was part of the beta group for Boards and there will be enhanced reporting updates coming in 2025 (no ETA) that allows things like tags to be a part of the reporting fields.  I too want to report using these.
